Back up Spectator meetings to a case
Spectator is BetterDocket's free desktop meeting recorder. It records, transcribes and summarizes on your own computer and works without any account. If you also use BetterDocket, you can connect the two so each meeting's summary, action items, transcript and your notes are backed up to your firm and filed to a case.
Connect your account
In Spectator, open Settings → BetterDocket and sign in with your BetterDocket email and password (and the code from your authenticator app, if your account uses one). Spectator then shows exactly what it will send before anything leaves your computer:
- the meeting title, date, time and duration
- the summary and action items prepared on your device, including your edits
- the transcript, including your edits
- your notes
- participant names and the clients you link them to
- the case you file a meeting to
Audio is not sent unless you separately turn on Also back up recordings. Dictation history, voice profiles and your OpenAI key never leave the device. Press Start backing up to accept; every finished meeting is then backed up, and backed up again whenever you change it.
File meetings to cases
A meeting that isn't filed to a case is visible only to you, on your Today page under Unfiled meetings. File it from there, or from the meeting's record in Spectator, by choosing a case. Once filed, it appears in that case's Meetings tab for every firm member with access to the case.
To let Spectator propose the case for you, open the People page in Spectator and link each person to the BetterDocket client they are. When every linked participant in a meeting shares exactly one open case, Spectator offers File to … with one click. Turn on File meetings automatically in Settings → BetterDocket and it files them without asking. Spectator never guesses when two cases could fit.
What the case team sees
The Meetings tab on a case lists each filed meeting with its participants, summary, action items, transcript and notes, read-only. Edits happen in Spectator and arrive on their own; a meeting whose summary or transcript was corrected by hand is marked Edited in Spectator. Members with access to the case can move a meeting to another case or hide it; only the member who recorded it can unfile it or delete the backup. Meetings never appear in the client portal.
Keep a meeting off BetterDocket
In Spectator, tick Don't back up this meeting on the meeting's record. If it had already been backed up, the copy is removed. Under Settings → BetterDocket you can also choose to back up only meetings filed to a case.
Disconnect
Settings → BetterDocket → Disconnect keeps everything on your computer. Tick Also delete my backed-up meetings if you want the copies removed from BetterDocket at the same time. Spectator keeps working exactly as before.
