Website intake

From your website to a prospect case in one click.

A potential client finds your site, fills in the contact form, and the request goes to an inbox. Someone reads it, types the name and email into the system, and only then can the first document request go out. BetterDocket hosts the form for you: on its own address, or embedded on your site. Each request waits on your dashboard with everything the person wrote, and opening it creates the Prospect Case with the Client attached, ready for the documents you need before the first meeting.

The problem

Where the time goes today.

The contact form goes to an inbox

Website requests arrive as email, between everything else. One gets answered the same hour; another sits for three days because it landed under a thread about a hearing.

Everything is typed twice

The name, the email, the phone number, and the two paragraphs about what happened are all in the request. Someone re-keys them into the system before the first document request can go out.

Intake tools are built for pipelines

The products that solve this are marketing CRMs: campaigns, lead scoring, attribution, and a second system to keep in sync with the one you run matters in. A solo does not need a funnel. A solo needs the request to land where the matter will live.

How it works

Website intake in BetterDocket.

Step by step. Each one is something the product does today.

  1. Turn on your intake page

In Firm settings, choose an address, the matter types a visitor can pick from, an optional headline, and the notice shown under the form. The page goes live at your address on BetterDocket with your Firm's name on it and nothing of ours but a line at the bottom.

  2. Link it, or put it on your own site

Link to the address from your website or email signature, or paste a one-line snippet into your site and the form appears there, sized to fit, in light or dark to match. It works on WordPress, Squarespace, Webflow, and a site we built for you.

  3. A request lands on your dashboard

Each submission waits at the top of your dashboard: who, what it is about, how to reach them, and what they wrote. Owners and admins are notified. Nothing is sent to the person yet.

  4. Open it as a Prospect Case

One click creates the Prospect Case with the person attached as the Client and sends their portal invite, exactly as if you had typed it in. What they wrote travels onto the Case. Or decline, and the request is gone.

  5. Request what you need before the first meeting

The Prospect Case is unbilled and documents-only: ask for up to five items and the person uploads them from a phone. Accept the Case when you take the matter; delete it if you do not.

What you get

Included from the first Case.

A hosted page with your name on it

Your address, your headline, your matter types, your notice. Switch it off and the address goes dark at once.

An embed for your own website

One line of code, or a plain iframe for site builders that strip scripts. Light, dark, or the visitor's device setting.

An inbox on your dashboard, not in email

Requests wait where the work starts, with owners and admins notified when one arrives. Open or decline, nothing in between.

Nothing typed twice

The Client, the Case name, and the submission all come from what the person already wrote.

What website intake does not do.

BetterDocket organizes the administrative work around a matter. The legal work, and the tools you already use for it, stay where they are.

  • It is not a CRM. There are no campaigns, no drip sequences, no lead scoring, and no attribution reports.
  • It does not email the person who submitted the form. The first thing they receive is the portal invite, and only when a Firm Member opens the request.
  • It does not screen for conflicts or decide whether to take a matter. A person opens or declines every request.
  • The form has fixed fields: name, email, phone, a matter type from your list, and a short description. It is not a questionnaire builder.

Questions.

Does the form have to live on betterdocket.com?

No. The hosted address is always there, and the same form embeds on your own website with a one-line snippet. Visitors never leave your site.

What does the person who submits the form receive?

Nothing, until a Firm Member opens the request. Opening it creates the Prospect Case and sends the portal invite, so the person hears from your Firm, not from a form.

What stops spam from filling my inbox?

A hidden field that bots fill and people do not, and a cap of thirty requests an hour per intake page. Anything that gets through is one click to decline.

Can I ask my own questions on the form?

Not yet. The form asks for a name, an email, a phone number, a matter type from the list you set, and a short description. Everything else belongs in the Document Requests you send once the Prospect Case exists.

Does this replace a CRM like Lawmatics?

Only the part where a website request becomes a matter. If you need marketing campaigns, lead scoring, or attribution, that is a different product and both can coexist.

What does this cost?

It is included. BetterDocket is $10 per Firm plus $1 per open Case each month, prorated by day, with unlimited team members and every capability on this site. There is no add-on, module, or per-seat fee for any of it.
