Get a client into their portal

Portal invites are automatic: creating a case emails an invitation to every client on it who doesn't already have portal access. The client creates an account with that same email address, and BetterDocket connects their portal on its own — there's no code to share and no link that expires.

How access actually connects

Access links by email match. The invite email — "{Your firm} set up a secure case portal for you", with a View your case button — sends the client to the portal sign-in. When they create an account using the email on their client record, the portal connects automatically after they confirm that email.

If the client already has a portal account from an earlier case, adding them to a new case skips the invite entirely — they get a "added a case to your portal" note instead, and the case simply appears.

Check where things stand

The case's Portal status tab is the readout: Portal login shows "Client account linked" or "Waiting for matching signup", Last portal access shows when they last visited (or "Never"), plus the latest update and message. The Today queue also flags cases where the client's login isn't linked or they've never visited.

Resend an invite

In Case Settings, the Clients panel shows each client with a Portal linked or Invite pending badge. Press Invite / resend on anyone still pending — it's the same button for a first send and a re-send. Clients who are already linked don't need (and can't be sent) an invite.

When the client can't get in

The usual cause is an email mismatch: the client signed up with a different address than the one on their record, and the portal shows them "No case is linked to this email yet." Two fixes:

  • They re-register with the right email. Point them at the address you have on file — their sign-in works, it just isn't connected to anything.
  • You add the address they actually use. In Case Settings → Clients, use Add client with the correct email (new clients get an invite automatically), then Detach the record with the wrong address. Emails on client records can't be edited, only names can.
